The questions buyers actually ask
What counts as one "generation"?
One generation is one trip from a meeting (or pasted notes, audio, video, or images) to a set of artefacts. If you tick stories, bugs, tasks, and decisions in one click, that still counts as one generation against your quota, not four. If every type fails the quota slot is automatically released, so you are only charged for value delivered.
What happens when I hit a cap?
Generation stops. We do not silently turn the meter into a bill. You will see a clear "cap reached" state with the next reset date, and you can either upgrade in-app via the Stripe portal or wait for the cycle to roll over. Bot dispatches also pre-flight check that you have at least 30 minutes of headroom so a long call cannot tip you over.
What is the difference between paste-link and calendar auto-join?
Paste-link is on Pro and Team: you paste a Zoom, Google Meet, or Teams URL into the dashboard and the bot joins that one call. Calendar auto-join is Team only: connect Google Calendar or Microsoft Outlook once and the bot joins eligible events automatically, with a per-event override if you want it to skip a specific meeting.
Pro versus Team. Which one do I need?
Pick Pro if you are one person running your own meetings and you are happy to paste the meeting link each time. Pick Team if you want the bot to join your calendar automatically, you want a shared workspace where teammates can see each other's projects, or you need pooled bot hours across multiple people. Team also gets 1:1 privacy mode for sensitive meetings.
Do you train AI models on my meetings?
No. Your meetings are never used to train our models or any third-party model. The AI sub-processor we use is contractually prohibited from training on customer data. Encryption is TLS in transit and AES-256 at rest, and the infrastructure is SOC 2 Type 2 certified.
How does the 14-day Pro trial work without a card?
You sign up with email and password, verify your email, and you immediately get the full Pro tier for 14 days. No card, no surprise charge at the end. When the trial ends you drop back to Free unless you choose to add a card and continue.
Why does the Team trial need a card if the Pro trial does not?
Team is shared-workspace and pooled-bot-hours, which means there is meaningful infrastructure cost from minute one. Asking for a card up front lets us give the full Team experience without rate-limiting it. You can still cancel any time during the 14 days at no charge.
Can I cancel any time?
Yes. Cancel from the Stripe customer portal in two clicks. You keep access until the end of the current billing period, then drop back to Free. Annual subscriptions are not auto-prorated, but they are also genuinely 25% cheaper, so most teams keep them.
What happens to my video recordings?
Uploaded video files are deleted automatically 30 days after upload, at 03:00 UTC. The meeting record, transcript, artefacts, briefing, and timeline stay in your workspace permanently. While the video is still on disk you can re-run extraction with a different ceremony type if the first pick was wrong.
Is the Free tier really free forever?
Yes. Free is lifetime free, no card. You get 3 lifetime generations, 1 lifetime paste-link bot dispatch, and 1 lifetime project, with every input modality and every integration export unlocked. It is designed as a permanent low-volume option for solo founders and trial users, not a 14-day countdown.
Do you sign DPAs? Are you GDPR-compliant?
Yes. Backlog.cloud is operated by Alconbury Tech Ltd (UK company number 17031730) and UK and EU GDPR apply. Access, rectification, erasure, restriction, portability, objection, withdrawal of consent, and complaint to the ICO are all supported. Email privacy@backlog.cloud for a DPA or sub-processor list.
We have more than 10 seats. Do you offer a volume discount?
Yes. Annual billing already saves you up to 25% off list. Beyond 10 seats we will quote you a custom rate, and beyond 25 seats Enterprise is usually the better fit because of SAML SSO, audit trail, and a dedicated SLA. Email support@backlog.cloud and we will reply within a working day.
Which roles can manage billing?
On Pro, you (the account owner) manage billing. On Team, the workspace owner manages billing by default and can hand the Stripe portal off to an admin if you want finance to own it without having access to the rest of the workspace.
What if the bot mis-identifies our ceremony type?
Retag it on the meeting detail page. The cheat sheet, gating, and coaching recompute against the new type. For paste-link and upload flows the ceremony picker is always required and starts empty, so the model never silently assumes. For calendar auto-join a small model picks the most likely type from the invite, with low-confidence guesses falling back to your project default.
