Comparison

Backlog.cloud vs Fireflies.ai: different jobs, honestly compared.

Fireflies is a general-purpose meeting notetaker, and a good one. It transcribes, summarises and makes every past conversation searchable, for sales calls and interviews as much as stand-ups. Backlog.cloud is built for one audience: software delivery teams. It optimises for the structured work a meeting creates, not the record of the meeting itself.

If you finish this page thinking Fireflies is the right tool for you, that is a good outcome. Comparisons that declare the home team the winner on every row are marketing, not comparison.

The real difference

A notetaker optimises for the record. A backlog tool optimises for the work.

Fireflies positions itself as an AI assistant for all your meetings, and its feature set matches that ambition: transcription their site claims runs at 95 percent accuracy across 100 plus languages, AI summaries with detected action items, a question-answering assistant called AskFred, and more than a hundred integrations covering CRMs, applicant tracking systems, dialers and storage. That breadth is genuinely hard to build and it is why sales and recruiting teams like the product.

None of that writes your backlog. When a refinement call ends, a notetaker hands you a summary and a list of action items. Someone still has to turn "Priya wants VAT recalculated on mid-cycle upgrades" into a bug with reproduction context, a user story with acceptance criteria, a decision log entry and a RAID risk, then format all of it for Jira. That translation step is the actual work, and it is the step Backlog.cloud automates: twelve artefact types, each anchored to the verbatim quote it came from, reviewed by a human, then pushed to your work management platform.

Fireflies does push action items into Jira, Linear and Asana, and we say so plainly in the table below. The gap is not whether something reaches Jira. It is whether what reaches Jira is a one-line task or a production-ready artefact.

Credit where due

Where Fireflies is genuinely strong

Breadth of meeting types

Sales calls, recruiting screens, user research, leadership syncs, podcasts. Fireflies is useful in every one of them, because notes are useful everywhere. Backlog.cloud is only useful where a backlog exists.

Notetaking maturity

Years of iteration on summaries, highlights, search and recall, plus AskFred for asking questions across your whole meeting history. As a system of record for conversations, it is polished.

CRM-oriented integrations

Salesforce and HubSpot sync, dialers, applicant tracking systems, and conversation intelligence with sentiment and topic tracking. For revenue teams this is the product, and Backlog.cloud does not compete there.

DimensionFireflies.aiBacklog.cloud
TranscriptionA core strength. Their site claims 95 percent accuracy, 100 plus languages and speaker recognition. The meeting bot transcribes Zoom, Microsoft Teams and Google Meet calls. Transcription is the input here, not the product.
AI meeting summariesMature and configurable. Summaries, smart highlights and detected action items after every meeting, plus AskFred for questions across past calls.Meeting minutes are one of twelve artefact types, written when the meeting type calls for them. Not the headline output.
User stories with acceptance criteriaNot a feature we could find on their site. Detected action items are task-shaped: a line of text with an owner.INVEST user stories with numbered Gherkin acceptance criteria (Given, When, Then), written to survive a sprint planning review.
Bugs, epics, requirements, RAIDNot offered as structured artefacts as far as we could verify. Their output formats are transcript, summary, highlights and action items. All first-class artefact types, alongside spikes, decision logs, tasks and discovery packs. Twelve types in total.
BPMN process modelsNo. Process mapping is outside the scope of a notetaker.A validated process graph extracted from the conversation, compiled to BPMN 2.0 XML on download, with as-is and to-be variants.
Evidence groundingSearchable transcripts with timestamps, so you can find the moment something was said if you go looking.Every artefact carries the verbatim quote it came from. The reviewer checks the source without opening the recording.
Ceremony-specific extractionGeneral purpose by design, with 200 plus AI Skills for customising what gets pulled from a call.Knows sprint planning from a retro from a discovery workshop, and listens for the outputs each ceremony actually produces.
Push to Jira, Azure DevOps, LinearYes, for action items. Their Jira integration creates issues from detected action items with meeting details and links, and Linear and Asana get tasks the same way.Full artefacts pushed after human review: ADF descriptions in Jira, work item types in Azure DevOps, teams and priorities in Linear, plus GitHub Issues, Notion and ClickUp.
CRM and sales workflowsStrong. Salesforce and HubSpot sync, dialer integrations, applicant tracking systems, conversation intelligence with sentiment and topic tracking.None. Sales calls are not the job this tool does.
Best forTeams that want notes, search and recall across every meeting they have: sales, recruiting, research, leadership, all of it.Software delivery teams that need the backlog written: product managers, business analysts and product owners who leave meetings owing Jira an hour of typing.

The short version

Which one should you pick?

Choose Fireflies if

  • You want one notetaker across every meeting in the company, not just delivery ceremonies.
  • Your main need is recall: searchable transcripts, summaries, and answers about what was said three weeks ago.
  • You run sales or recruiting and need CRM sync, dialer coverage and conversation intelligence.
  • Task-level action items landing in Jira or Asana is all the structure your workflow needs.

Choose Backlog.cloud if

  • The output you need is the backlog itself: user stories with Gherkin acceptance criteria, bugs, epics, requirements, RAID entries.
  • You want every generated item anchored to the verbatim quote it came from, so review takes seconds instead of a replay.
  • Your meetings are ceremonies with known outputs: sprint planning, refinement, discovery workshops, process mapping.
  • You need artefacts pushed properly into Jira, Azure DevOps, Linear, GitHub Issues, Notion or ClickUp, ADF descriptions and field mapping included.

On pricing: both products publish their numbers. Ours are on the Backlog.cloud pricing page, theirs at fireflies.ai/pricing. We do not restate competitor prices here because stale numbers mislead.

FAQ

Backlog.cloud vs Fireflies, answered

Is Backlog.cloud a Fireflies alternative?
Only if the thing you actually want from Fireflies is backlog items. If you want a notetaker across sales calls, interviews and leadership meetings, Fireflies is the better fit and this page will not pretend otherwise. If you record delivery ceremonies and then spend the afternoon turning the notes into Jira tickets by hand, that second half is the job Backlog.cloud does.
Can Fireflies create Jira tickets?
Yes. As of August 2026 their Jira integration creates issues from action items detected in a meeting, with meeting details and a link back to the call. The difference is depth. An action item arrives in Jira as a short task. Backlog.cloud writes the artefact itself: a user story with numbered Gherkin acceptance criteria in a properly formatted ADF description, a bug with reproduction context, an epic, a requirement. That is the part a notetaker does not do.
Can I use Fireflies and Backlog.cloud together?
Yes, and some teams genuinely should. Fireflies across the whole company for notes and recall, Backlog.cloud on delivery ceremonies for the artefacts. They overlap on transcription, not on output. You can also paste a transcript exported from any notetaker straight into Backlog.cloud.
Does Backlog.cloud do meeting summaries like Fireflies?
It generates meeting minutes as one of its twelve artefact types, with decisions and attendees, so the record exists. But if summaries and search across every past meeting are the main thing you need, a dedicated notetaker does that job with more polish.
Which is better for a sales team?
Fireflies, without much of a contest. Their CRM sync, dialer integrations and conversation intelligence are built for exactly that. Backlog.cloud has no CRM features and no plans to add them.
What does evidence grounding mean in practice?
Every artefact Backlog.cloud generates carries the verbatim quote it was extracted from. When an engineer asks who requested a story, the answer is printed on it. Fireflies gives you a searchable transcript, which answers the same question if someone goes and searches. Grounding puts the answer on the artefact so nobody has to.
How do the prices compare?
We deliberately do not hardcode competitor prices, because they change and stale numbers are worse than none. Backlog.cloud pricing is on our pricing page, including a free tier with no card. Fireflies publishes theirs at fireflies.ai. Compare them against the job you need done, not line by line, because the products charge for different things.
